Plain language, because privacy policies written by robots help nobody.
This site has two halves, and they collect very different amounts.
The public site — everything you can see without signing in — collects almost nothing. The member portal, which you only reach by signing in with Discord, collects a great deal, because it is the thing you are using: your profile, your posts, your messages, your uploads. This notice covers both, separately, and tries to be specific rather than short.
If you never sign in, the only thing you can hand us is the Request Access form: your Discord username, gamer tag, platform, games, time zone, schedule, how you found us, an optional member referral, and your reason for joining.
Those nine fields are not stored in this website's database. They are delivered straight to a private channel in our Discord server, where clan leadership reads them. So once you submit that form, the information lives in Discord, under Discord's terms, not in a database we control.
We do not require your legal name, email address, phone number, or any government identifier — on that form or anywhere else on this site.
When you submit the Request Access form, or attempt to sign in, your IP address is written to our database briefly. It is used for one purpose: rate limiting, so the form and the login route cannot be hammered by a script.
The one-hour limit expires the record, but the row is cleared from the database opportunistically rather than on a schedule, so it can sit there longer than an hour before it is actually removed. It is not used to identify you, is not linked to your submission, and goes nowhere else.
Signing in is done through Discord OAuth. We ask Discord for your identity and your roles in our server, and we receive your Discord user id, username, display name, avatar, server roles and server nickname. We never see your Discord password.
From there, the portal stores what you do in it:
This is the part a notice usually leaves out, so it is its own section.
Some records here are written by other people, about you: formal warnings issued by leadership, removal requests and the votes cast on them, restrictions and timeouts applied to you and when they were lifted, moderation logs when a post, an avatar or an image is removed, and a record of which members have viewed your profile. You did not create these and you cannot delete them.
If you are kicked or banned through the portal, we keep a record of it so leadership can find and re-contact anyone removed in error: your Discord user id and username, your server nickname at the time, the gamertags on your profile (never for a member under 18), the reasons given, and who carried it out. On this site only the General and the Leader can read it, and it has no deletion option. When a removal request is filed against you, the portal's bot also posts it, its result and its outcome to a private leadership channel on the getFHKT Discord, naming you by your server nickname, Discord username and user id, with the reasons given. A kick or ban carried out through the portal is logged the same way in a second private leadership channel.
When your rank is changed through the portal, the portal's bot posts it on the getFHKT Discord, naming you by your server nickname, Discord username and user id. A promotion is posted in a channel every clan member can read, mentioning you so Discord notifies you, and copied to a private leadership channel; a demotion is posted only to the private leadership channel. A promotion is never posted in the clan-wide channel for a member the portal cannot confirm is 18 or over.
You can see who has viewed your profile, and only you can see that list. The same is true in reverse: when you open someone else's profile, your name appears on theirs. Browsing here is not anonymous.
One thing in that list works in your favour: no page on this site displays those image-removal logs. They are kept as a record, but no member can look them up — reaching them means working directly on the database.
A note on names. Most of these records save the display name you were using at the moment the record was created, as a snapshot. Changing your name later does not go back and change them. In practice that means our records keep a history of the names you have used here.
We would rather tell you this accurately than comfortably.
Genuinely deleted
Deletion is per item, not per thread. Deleting a wall comment does not delete the replies underneath it, and deleting a forum thread does not delete the discussion inside it — those posts stop being visible, but each one is its own author's to delete, and it stays on record until they remove it.
Hidden, but kept: a formal warning removed from view is not erased. The record stays in our database.
Kept indefinitely: anything leadership removes. This one deserves saying straight, because it runs opposite to what you would assume. When you delete your own post, it is erased for good after 30 days. When leadership removes that same post, it is hidden from everyone but kept indefinitely — it becomes part of the moderation record, and the 30-day erasure does not apply to it. We keep it because the moderation record notes only that something was removed and who removed it — never what it said. The post itself is the only account of what was acted on. So content removed by a moderator outlives content you delete yourself.
Kept either way: your arcade scores, profile-visit history, salutes, and moderation records such as warnings, removal votes and the removed-members record have no deletion option at all today.
Support-chat messages are kept too, and that one is deliberate rather than unfinished: a support ticket usually contains a report about someone else, so letting either side delete it would destroy a record the other person may need. Those conversations are also readable by leadership at Major and above, not only by you and whoever answered.
Deleting your account is something you can do, and it happens immediately — there is no waiting period. It clears your profile, removes the images you uploaded, and replaces your name with [redacted] everywhere other members can see it. For now, the site's delete-account control is for clan ranks only.
What it does not do is erase you from our database. Your posts stay readable under that label, so other people's conversations still make sense; your Discord id stays attached to them; your account record is kept, because moderation depends on it; and moderation and support records keep your real name. Deleting your account removes you from other members' view. It is not a full erasure, and we would rather say so than let you assume otherwise.
One thing that follows from the label: [redacted] means the member deleted their own account. It is not a moderation action, and it does not mean anyone was removed.
For anything else, ask leadership on Discord and we will do what the system allows — which, for the items above, may be less than you expect. As that changes, this notice changes with it.
To run a clan. Leadership reviews access requests and contacts you on Discord; the portal exists so members have profiles, messages and a place to post. We do not sell, rent, or trade any of it. Ever. We do not run advertising and we have no commercial interest in your data.
This site currently runs without analytics or tracking cookies.
We set exactly two cookies, both required for signing in: an encrypted session cookie, and a short-lived security token used during the Discord sign-in round-trip. The session expires after 8 hours of inactivity, and always after 24 hours.
We also store a few preferences in your browser — whether the dock is open, whether sound is muted. Those never leave your device and never reach us. Your chosen theme is different: it is saved to your account so it follows you between devices, and what your browser keeps is only a copy of it.
If privacy-conscious analytics are ever enabled, this page will be updated to say exactly what is collected.
Signing in, the Request Access form, role and nickname syncing, and our announcement messages all run through Discord. Discord's own privacy policy governs anything that happens there, and we do not control what they collect. If you are in our server, we also see your server roles and nickname — that is how ranks work.
This site links out to other sites — Discord, FUBAR Creative (the studio that built it), and third-party game-stats sites. Once you follow a link off getFHKT, that site's own privacy policy applies; we don't control what they collect.
Some of what we hold is about people who never signed in here, and it would be dishonest to leave that in a section about members.
Contact clan leadership through the Discord server to ask what we hold about you, correct it, or request removal. A real person will answer.
